RTP grant match and in-kind grant time tracking
Many trail grants — including state Recreational Trails Program (RTP) awards — let volunteer labor count toward the required match. Funders usually ask for each volunteer's hours by date, the work done, and a value per hour. TrailTime keeps that record as your volunteers log their time, so in-kind grant time tracking isn't a scramble at reimbursement time.
How it works
- Add a grant project — grant number, funder, project administrator, dates, and the hourly rate your funder requires (it starts at Independent Sector's $36.14 national value of volunteer time for 2025; some programs use a state figure or a fixed rate).
- Tag hours to it — volunteers choose the grant project when they log trail work, or Admins assign hours in bulk. Group work parties count for each volunteer who joins with the activity's QR code.
- Print the Grant match report — one line per volunteer per date with tasks, hours, rate and value, a summary by volunteer, totals, and certification and signature lines. Save it as a PDF or download a CSV for Excel.
What the report includes
- Organization / sponsor, project, grant number, funder, project administrator and reporting period
- The hourly rate and its source
- Volunteer labor by date: date, volunteer, tasks completed, trail system, hours, rate and value
- A summary by volunteer and total documented hours and match value
- Group hours that can't be documented by name, listed separately so they're never counted by mistake
